As we expand, we are looking for a highly skilled and motivated Receptionist to be the welcoming face and voice of our business.

About the Role

We are seeking a professional, highly organised, and proactive Receptionist to join our team. The ideal candidate will have excellent communication skills, a strong sense of initiative, and the ability to multitask in a fast-paced environment. This role is critical in ensuring the smooth operation of our office by managing enquiries, scheduling appointments, and supporting our management team.

Key Responsibilities:

  • Handle incoming phone calls and enquiries professionally and efficiently.
  • Enter and schedule quotations, ensuring accuracy and timeliness.
  • Communicate effectively with external stakeholders, including clients, suppliers, and contractors.
  • Manage the email inbox, responding promptly and appropriately.
  • Maintain filing and archiving systems for easy retrieval of documents.
  • Collate staff timesheets and leave requests for payroll processing.
  • Assist the Office & Operations Manager with administrative tasks.
  • Support the Director and Construction Manager with daily administrative duties.
  • Schedule meetings, draft agendas, and take meeting minutes.

Key Skills and Experience:

  • Excellent verbal and written communication skills.
  • Confident handling incoming enquiries and providing exceptional customer service.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Strong attention to detail and accuracy in data entry and scheduling.
  • Ability to multitask effectively in a busy office environment.
  • A proactive approach with a strong sense of initiative.
  • Confident phone manner and professional tone in email communication.
  • Previous experience in a reception or administrative role is highly regarded.
