Role Overview:
We are seeking a dynamic and versatile individual to join our team as a part-time (three days a week) Accounts & Administration Assistant. This role combines accounts and administrative responsibilities, alongside providing general assistance to the Manager of Finance & Technology. The ideal candidate will be highly organised, proactive, and capable of managing a diverse range of tasks in a fast paced environment
Key Responsibilities:
1. Accounts Support:
Assist with accounts payable and receivable tasks, including invoice processing, payment tracking, and account reconciliations.
Maintain accurate records and ensure compliance with company policies and procedures.
Liaise with vendors, clients, and team members regarding accounts queries.
2. Administrative Assistance:
Perform general administrative duties, such as managing correspondence, scheduling meetings, and maintaining records.
Organise and maintain documentation, both digital and physical, ensuring accessibility and confidentiality.
Support the preparation of reports and other documentation as required
Assist with managing emails and phone correspondence of shared mailboxes
3. General Assistance:
Act as the right hand support for the Manager of Finance and Technology, taking on delegated tasks and projects.
Provide ad hoc assistance as needed, including research, data entry, and special projects.
Adapt to changing priorities and take initiative in problem solving and process improvements.
Skills and Qualifications:
Demonstrated experience in administration with a strong focus on accuracy and attention to detail.
Proficiency in data entry and familiarity with systems, including Excel, ERP, or CRM systems. (some of our systems: Monday.com, ICE, MS365 suite, Hubspot)
Strong organisational skills and the ability to manage multiple tasks and deadlines.
Excellent communication skills, both written and verbal, with a strong customer service orientation.
Analytical mindset with the ability to interpret data and identify discrepancies.
Ability to work collaboratively in a team environment and independently as required.
Proactive approach to problem-solving and a willingness to take on varied tasks.
Familiarity with accounts and administrative processes in a fast paced environment.
***Experience with ICE is highly regarded***
***Experience in IT and/or Managed Print industries advantageous***
