The Role - Full-time 9 month fixed-term contract based at our Epping Head Office - 76 hours per fortnight - 2 days WFH, 3 days in Epping.

The Rostering Consultant plays a key role in supporting our Residential Aged Care sites to design, implement and maintain quality rosters that meet care minute requirements, balance workforce wellbeing, and contribute to exceptional care outcomes.

This role acts as a coach and subject matter expert, partnering with Residential Managers, administrators, and relevant support teams to build rostering capability, drive process improvement, and align rostering practices with financial, operational, and compliance objectives. While the primary focus is on Residential Aged Care, the role may also support the Home Care team when needed.

As a trusted advisor on good rostering practice, you help ensure our workforce is in the right place, at the right time, for the right reasons, enabling consistent, high-quality care and a better experience for both employees and residents.

What does the day to day look like?

Supporting quality, care-aligned rosters

Partner with Residential Managers to review, validate and improve rosters in alignment with care minute targets, budgeted FTE and staffing models.

Provide coaching and support to site-based administrative teams to ensure effective rostering workflows.

Help sites understand and manage leave, unplanned absences, and backfill strategies to reduce reliance on agency use.

Support alignment of rosters to workforce agreements and safe working hours principles.

Uplifting rostering capability

Deliver training and one-on-one coaching on best practice rostering techniques, system use, and shift planning.

Develop rostering guides, checklists and tools to support standardisation and reduce roster errors.

Assist with onboarding and upskilling new Residential Managers or admin team members on rostering systems

System and process improvement

Support use of the rostering/time and attendance platform (e.g. RosterOn) and contribute to system optimisation initiatives.

Identify pain points in rostering workflows and help design improved processes that reduce complexity and improve outcomes.

Liaise with system administrators, ICT and vendors where appropriate to ensure system configurations support business needs.

Data, reporting and compliance

Monitor and analyse roster data to identify trends, gaps, or inefficiencies.

Support the Finance, P&C and Operational teams with regular and ad-hoc reporting related to staffing levels, cost variances, and care minutes.

Ensure rosters align with regulatory and Enterprise Agreement obligations, escalating non-compliance or risks as required.

Education and Experience

• Previous experience in a rostering, workforce planning or operational support role. RosterOn and /or experience in 24/7 rostering in Aged Care - Care minutes.

• Experience in residential aged care or a regulated care environment (Desirable).

• Familiarity with interpreting care minutes, award conditions, and rostering in accordance with an Enterprise Agreement/s.

• Tertiary qualification in business, health administration or workforce management (Desirable).

Skills and Capability

• Advanced skills in rostering and time and attendance platforms (e.g. RosterOn, Payroll Metrics UKG).

• Strong Excel and data analysis skills to identify trends and provide actionable insights.

• Ability to explain complex rostering requirements in simple, practical terms.

• Understanding of care minute reporting and its implications for roster planning.

• Experience developing training tools, templates or guides to uplift capability.
