Position Overview:
The Project and Administration Coordinator plays a key role in supporting the smooth operation and growth of our dental practice. This position involves coordinating internal projects, managing administrative systems, supporting clinical and non-clinical teams, and ensuring efficient workflow across all departments. The ideal candidate is organised, proactive, and able to manage multiple priorities with attention to detail.
Key Responsibilities:
1. Project Coordination
Assist in planning, implementing, and tracking projects such as new service rollouts, clinical initiatives, staff training programs, Annual conferences & Events planning, and technology upgrades.
Coordinate timelines, deliverables, and communication between team members and external partners.
Monitor project progress and prepare progress reports for management.
Ensure projects are completed on schedule and align with practice goals.
2. Administrative Support
Provide day-to-day administrative support to the Practice Manager and clinical team.
Manage emails, appointments, and correspondence.
Maintain records, forms, and compliance documentation (e.g., staff training, infection control logs).
Assist with onboarding and staff scheduling as needed.
3. Communication & Coordination
Act as a point of contact between departments, external providers, and management.
Support communication with suppliers, contractors, and referring professionals.
4. Practice Development Support
Assist with marketing, events, and community engagement activities.
Help implement process improvements and new systems to enhance efficiency and patient experience.
Skills and Attributes:
Strong organisational and time-management skills.
Excellent written and verbal communication.
Proficient with Microsoft Office Suite (Word, Excel, PowerPoint) and practice management software (experience with Dental4Windows).
High attention to detail and ability to multitask.
Positive attitude, professional presentation, and team-oriented mindset.
Ability to handle confidential information with discretion.
Qualifications and Experience:
Previous experience in administration, office coordination, or project support (dental or healthcare experience preferred).
Certificate or diploma in Business Administration, Project Management, or related field (preferred).
