About the Role
The primary objective of the role is to oversee the efficient delivery of Race Day Operations, Event Management, and Function delivery for the BJC. This role ensures high-quality experience for all patrons, members, and stakeholders while contributing to the strategic goals of the club. The incumbent will undertake key responsibilities in a professional and efficient manner and contribute to the BJCs purpose “to provide a quality racing and entertainment experience that benefits our community”.
The Operations Manager will oversee the delivery of the following in accordance with relevant policies and procedures and at the direction of the Chief Executive Officer (CEO):
Race Day Operations
Coordinate and support the Operations team with all aspects of race day operations, ensuring compliance with Racing Victoria Limited and Country Racing Victoria standards.
Oversee hospitality race day staff recruitment, training, and rostering.
Provide relevant reporting for each race day, including consumption and cost of goods sold.
Act as one of the primary contacts for race day enquiries from staff, stakeholders, and patrons.
Oversee the engagement of relevant contractors for the efficient delivery of race day events.
Ensure seamless operation of POS systems, liquor licensing compliance, and RSA adherence.
Event Management
Develop and execute operational plans for race days and non-race day events.
Manage contractor engagement, including setup (bump-in) and pack-down (bump-out).
Manage the successful delivery of all temporary infrastructure.
Coordinate with stakeholders to ensure successful delivery of events.
Liaise with internal teams and external suppliers to support event logistics and hospitality services.
Oversee beverage stock orders with suppliers.
Oversee marketing and promotions for events in collaboration with the marketing team.
Function Delivery
Supervise and support function operations on race days and non-race days, ensuring high standards of customer experience.
Plan and manage staffing needs for functions, including recruitment, training, and rostering.
Collaborate with catering and hospitality teams to deliver quality services during functions.
Monitor function budgets and profitability, ensuring alignment with financial goals.
Provide operational support for community events hosted at BJC facilities.
Administration and Reporting
Prepare monthly operational reports, including financial performance summaries, for race days and events.
Support internal liaisons with accounts payable/receivable, including coding of invoices for CEO approval.
Maintain accurate records of operational activities and stakeholder engagements.
Assist the CEO in strategic planning and business development initiatives.
Business Review and Development
In conjunction with the CEO:
Undertake performance reviews including a review of relevant budgets against the annual budget.
Identify alternative business opportunities to enhance and develop the BJCs business and/or services to members/stakeholders.
Develop, refine and implement the Club’s strategic plan.
Prepare and maintain a site map that incorporates all buildings, facilities and utilities.
Determine funding opportunities and prepare grant submissions on behalf of the BJC.
Support the development of an Event Plan to evolve product offerings associated with established race days and tourism opportunities for non-race days.
Other skills, knowledge, duties, and personal qualities
The incumbent will have:
Experience in event/function management and delivery.
Sound business, financial and customer service skills, and experience.
Strong organisational and planning skills.
Exceptional written, verbal communication and persuasion skills.
Ability to prioritise effectively and manage multiple tasks and projects.
Strong proficiency in Microsoft Office and other relevant digital systems and software.
Proficient in driving process changes to streamline operations.
