Administration Assistant on the Northern Beaches.Temporary Contract 4 days per week until 19 December 2025. Salary $52,000 pro-rata plus super.

About The Role

Join the close-knit team at Impact as a part-time Administration Assistant, where you'll play a key role in ensuring the smooth running of our office and providing critical administration support to our learning and development programs.

This is a rewarding position, doing meaningful work, and involves working closely with very talented and caring team members.

The candidate will be based in Sydney, preferably in the Northern Beaches or North Shore area close to our Freshwater, NSW, office.

Key Responsibilities:

Administration:

Efficiently manage records and files in Microsoft Teams, ensuring easy access and smooth coordination within the team.

Coordinate team events, including F2F gatherings and team meetings, fostering a collaborative and enjoyable place to work.

Enhance team communication by documenting minutes during meetings and ensuring their distribution.

Provide support to the Finance Manager through a variety of ad-hoc administrative and operational tasks.

Apply strong attention to detail in proofreading and formatting sales pitch documents and program materials, ensuring they are presentation-ready and aligned with brand standards.

Office management, ensuring the office is well-maintained and looked after, monitoring inventory levels and placing orders as needed.

Program Coordination:

Work closely with Program Managers to assist client solution set up.

Create and refine program materials, including formatting, editing, printing, and keeping content up to date.

Proven advanced abilities in MS Office (MS Teams, Word, Excel and Powerpoint, in particular).

Logistics – researching, booking, and managing travel and accommodation

Support pre and post-program administration including evaluation, collating appraisal information and attending internal reviews when necessary.

About you

Fluent in English.

Technical Proficiency: Highly skilled with web-based tools (e.g. MS 365 apps, Survey Monkey, Vimeo, Zoom, Microsoft Teams, Microsoft Forms).

Microsoft Office: Highly skilled in Microsoft PowerPoint, Word, and Excel, able to produce documents to specific standards, prepare high-quality presentations, use databases effectively, and generate statistics and graphs.

Team Player: Relationships are at the core of our global operations.

Communication Skills: Exceptional written and verbal communication abilities

Initiative: Excellent at handling ambiguity, not afraid to ask questions, anticipating needs, and being resourceful.

Problem-solving: Quick learner with strong problem-solving skills.

Self-starter: Capable of managing personal initiatives independently.

Attention to Detail: Meticulous attention to detail.
