Our client is a well-known nationally for their high quality products in the mining and construction industry. With offices across NSW and Qld, they specialise in custom design and fabrication of products along with equipment hire. Due to growth, we're currently seeking a HSEQ and Business Administrator to join their team.

Reporting to the HSE Manager, this dynamic role provides critical administrative and operational support to the HSE and Quality functions including coordinate activities across fleet and facility administration, procurement, PPE management, contractor administration, and document control. The role also supports staff training, onboarding, customer feedback recording, and document management improvements within the Integrated Management System (IMS), coordination of customer visits, and provides direct support to the HSE Manager in project coordination and calendar management. This is a cross-functional support role focused on maintaining business efficiency, safety, and compliance.

The role:

  • Coordinate vehicle fleet administration, including registration, servicing, damage and reporting.
  • Oversee administration related to facilities maintenance, raising requests and tracking completion.
  • Support the purchase and restocking of office groceries, amenities, and consumables as required.
  • Liaise with waste management vendors to ensure services are completed and issues are resolved.
  • Raise purchase orders for the HSE and QA teams and track approvals, deliveries and performance.
  • Ensure reception duties are effectively covered, with rostering, handovers, and backup in place.
  • Support contractor compliance, including onboarding, inductions, and permits to work (PTW).
  • Administer PPE and uniform inventory, ensuring team members are appropriately equipped.
  • Maintain CRM access, data, training matrices, inductions and onboarding documentation.
  • Assist with generating accurate and timely reports of HSE and Q data from CRM.
  • Draft internal alerts to staff regarding HSEQ issues in clear and timely formats.
  • Assist in reviewing and improving document control processes with the IMS.
  • Coordinate the Continuous Improvement Log and Customer Feedback Register within the IMS.
  • Arrange senior staff travel bookings as required, alignment with policy and cost-effectiveness.
  • Collaborate with HSE and QA to ensure alignment of systems, compliance and audit readiness.
  • Ensure accurate records are maintained in support of internal and external audit requirements.
  • Coordinate logistics and provide support during customer visits, including site preparation, hospitality, and documentation.

What we’re looking for:

  • Certificate IV or higher in Business Administration, HSE, Quality, or related field.
  • Strong organisational and multitasking skills in a dynamic environment.
  • Excellent written and verbal communication skills.
  • High proficiency in Microsoft Office Suite and familiarity with safety systems (e.g., Lucidity).
  • Ability to manage competing priorities with a proactive and solutions-focused mindset.
  • Experience with ISO 45001, 9001, or 14001 certified environments. (desirable)
  • Familiarity with contractor compliance and document management practices. (desirable)
