About ADHD WA
Founded in 1993, ADHD Western Australia is a support, information, advocacy, and services agency for people with ADHD and associated conditions. We work with children, teenagers, and adults living with learning differences, as well as their families and partners. We also support those who treat, teach, and work with people living with ADHD.
The ripple effects of ADHD can be seen in families, workplaces, schools, and communities. We exist to provide information and practical support, aid research initiatives, and spread awareness about ADHD through resources and events.
About the Role
As the Reception and Administration Assistant, you will be part of a small team who are passionate about providing outstanding experiences to our clients, ADHD WA members and the general community.
Reporting to the Finance and Administration Lead, the role:
Acts as the first point of contact for our organisation, welcoming clients, ADHD WA members and members of the community regarding referrals, appointments, general enquiries regarding information about ADHD, supports and services offered at ADHD WA, both in person and by phone and email
Maintains timely process of referrals and contact with specialists and GP's, ensuring accurate client details and following up on additional information consistent with Medicare requirements
Manages appointments, invoicing and session payments, ensuring adherence to processes and policies including Medicare requirements
Respond to queries and provide information via email and over the phone in a timely manner.
Follow-up payment and forms for appointments
Ensure Reception, kitchen and public areas are tidy at all times.
Set up for in-person Peer Support Groups
Maintain awareness of, and a commitment to policies and procedures within ADHD WA, including the Code of Conduct and occupational health and safety procedures.
Provide other administrative support as directed.
Provide administrative support for Peer Support Groups and Professional Development events
Whilst this is an incredibly rewarding role, it is also a busy role with multiple things happening at any given moment!
About You
This role would suit someone who likes ensuring good client experiences, enjoys meeting new people and making them feel welcome. Previous experience in the following is an advantage:
Clinical and health related setting
NDIS providers
Essential Criteria
We are looking for:
A bubbly, friendly "people person" with a natural ability for making people feel comfortable and welcome
Previous experience working in a reception or similar customer support role
Excellent interpersonal skills and confident communication skills, including professional, but friendly business writing
Exceptional attention to detail - thorough and accurate with administration tasks
Excellent IT and computer skills, proactive in problem solving knowledge gaps (we use Cliniko, Office 365 including SharePoint, Teams, MYOB)
Ability to prioritise and manage your time effectively
Work calmly under pressure when faced with competing priorities with face to face clients, calls and emails taking place at the same time
Have a positive, mature approach and be flexible with administration tasks
An interest or experience with ADHD would be highly advantageous, but not essential
The successful candidate will need to provide a current National Police Check and Working with Children Check before being appointed.
The role is a part time position Monday to Friday. You will receive in house training and a supportive environment.
