As we continue to grow, we are looking for an experienced Senior Program Coordinator to join our small, dynamic team. This is an exciting opportunity for someone who thrives in a fast-paced environment and is passionate about quality program delivery and operational excellence.
The Role
As the Senior Program Coordinator, you will play a critical role in supporting the successful delivery of our leadership development programs. You’ll work closely with our Director and Lead Project Coordinator to manage all aspects of program administration and logistics — from scheduling and materials preparation to participant support and stakeholder communication.
You’ll be responsible for:
Coordinating and supporting multiple leadership programs simultaneously
Managing stakeholder relationships and ensuring high-quality service delivery
Using project management tools (To Do Vu) to track tasks and ensure completion
Supporting facilitators and participants pre-, during, and post-program
Coordinating program logistics: workbooks, nametags, evaluations, materials
Administering leadership assessments (DiSC, MBTI, HBDI, SHL, 360)
Scheduling coaching sessions based on facilitator availability
Supporting online and in-person program delivery
Responding to public enquiries and assisting with public program delivery
Office support: email and calendar management, phone support, general admin
About You
You’re a highly organised professional with a sharp eye for detail and a passion for supporting others. You enjoy juggling multiple priorities, thinking on your feet, and delivering exceptional service with a positive attitude.
You bring:
Strong Microsoft Office Suite skills (especially Excel, PowerPoint, Word, Forms)
Proficiency in Adobe Acrobat (particularly editable PDFs)
Ability to learn and adapt to new platforms quickly
Excellent communication and interpersonal skills
Strong organisational and time management abilities
Experience working both independently and as part of a small, close-knit team
Initiative, flexibility, and a proactive problem-solving mindset
Previous experience in a program coordination or project support role (desirable)
Familiarity with diagnostic assessments (DiSC, MBTI, etc.) is a bonus
