At Instant Shade Umbrellas, we proudly supply Australia’s Best Umbrellas. Our range includes small branded market umbrellas, large heavy-duty commercial umbrellas, promotional pop-up marquees, and permanent shade structures. We also have a line of residential products for gardens and swimming pools, but this role is all about supporting our commercial customers that include hospitality venues, hotels & resorts, event companies, and other businesses large & small.
Customer service is at the heart of what we do. We build long-standing relationships and deliver creative shade solutions that make a real difference to our clients, and we genuinely care while doing it.

About the Role
We’re looking for a highly organised administrative whiz to join our team. You’ll be a vital part of our commercial sales process – keeping orders moving, supporting our sales team, and helping things run smoothly behind the scenes.
This is a fast-paced and varied role, so if you love structure but thrive on a little pressure, keep reading.
You’ll constantly be collaborating with people across the business from our salespeople to our warehouse crew, and from graphic design to production. Great communication, a warm personality, and the ability to think on your feet are a must.
Most importantly, we’re looking for someone who cares about their work, their teammates, and the customers we serve. If you’re a team player with energy, attention to detail, and a healthy dose of curiosity, we’d love to hear from you.
Key Responsibilities & Duties
Support the commercial sales team
Be the first point of contact for commercial customers (phone, email, web)
Process sales from deposit to production, delivery, and installation
Liaise with our graphic designer and in-house printer to complete client artwork
Communicate with our factory and warehouse throughout production
Keep customers informed on payments, ETA, and delivery details
Provide customer support for warranty, repairs, and spare parts
Handle general office tasks and ad-hoc duties as needed

Some experience in admin is a must but your attitude, adaptability, and willingness to pitch in matter just as much. If you’ve used tools like Cin7, Zoho CRM or Office 365 (Outlook, Word, Excel, Teams), great! If not, we’ll show you the ropes.
Bonus points if you’ve worked in outdoor shade, signage/ branding or events, but it’s not essential.

$55,000 - $65,000 + Super depending on experience
Permanent full-time role - Monday to Friday
6 paid RDOs a year (during off-peak period)
